PRESENTATION GUIDELINES

Presentation Guidelines

To ensure a smooth and successful experience for all presenters, please carefully review the following guidelines.

1.1 Presentation Format

  • Please refer to the online programme for your exact session time and room assignment. Note: The conference programme will be available online March 30, 2026.
  • Standard presentation format:
    • 10 minutes for presentation
    • 2 minutes for Q&A
  • All presentations must be delivered in English, unless otherwise arranged for designated Spanish-language sessions.

 

1.2 Slide Formatting

For optimal display:

  • Use Widescreen (16:9) slide size.
    (PowerPoint → DesignSlide SizeWidescreen 16:9)
  • Keep slides visually clear and accessible:
    • Use large, simple fonts (Arial, Aptos, Times New Roman, Verdana, Helvetica)
    • Limit text; avoid dense paragraphs
    • Minimize animations
    • Use high-contrast colors and avoid difficult combinations
    • Ensure graphs/photos are legible from a distance
    • Provide English captions for any videos

 

1.3 Accessibility Considerations

Many delegates may speak English as a second language or have visual or cognitive disabilities. To support inclusivity, please:

  • Use plain, readable language
  • Limit the number of slides
  • Avoid color combinations problematic for color-blindness
  • Ensure all figures are clearly labeled

To ensure seamless technical operations, presenters may not use personal laptops to deliver their presentations during sessions. All presentations must be uploaded in advance through the CVENT Speaker Portal and will be run from the conference-provided computers at the podium.

 

2.1 Upload Deadline

  • Upload Deadline: 15 July 2026
  • Upload through your speaker portal in CVENT
  • Uploads are final and cannot be modified after submission.
  • Early upload is encouraged to allow adequate time for technical review.

2.2 Acceptable File Formats

  • PowerPoint (.pptx) — required for live presentation
  • You may use your own PowerPoint template. If you prefer to use the conference template, you may download it here: ICN NP APN Powerpoint Template.pptx
  • Video files must be uploaded as separate files in one of the following formats:
    • .MP4 (preferred)
    • .MOV
    • .WMV
  • Do not upload PDFs for podium presentations. PDFs are used only for post-conference sharing.

 

2.3 Technical Requirements

  • Embed all fonts before saving your final file
  • Use standard, conference-supported fonts: Arial, Aptos, Times New Roman, Verdana, Helvetica
  • File size must be under 250 MB.
  • Ensure videos are set to play automatically or play on click
  • Do not rely on streaming content or internet connections
  • Name your file using the following convention:
    LastName_FirstName_PresentationTitle.pptx

 

2.4 Copyright Permissions & Proper Attribution

  • If your presentation includes commercial footage (television clips, advertisements, copyrighted music, etc.), you must obtain written permission from the copyright holder in advance.
  • All images, tables, data, quotations, and external materials used in your presentation must be properly cited according to academic and professional standards.
  • When using publicly available materials, please ensure that the license allows such use and that attribution is provided as required.

 

2.5 Revisions

You may upload updated versions of your presentation until the submission deadline. After this date, additional changes cannot be guaranteed.

A Speaker Ready Room will be available onsite for all presenters. Please plan to visit the Speaker Ready Room at least one session block (1–2 hours) before your presentation. In this room, you may:

  • Review and test your slides
  • Confirm audiovisual compatibility
  • Ask technical support questions
  • Arrive at your session room at least 20 minutes early to be ready to present immediately upon conclusion of the previous session.
  • A moderator will assist with:
    • Opening introductions
    • Timekeeping
    • Q&A facilitation
  • Equipment Provided
  • Projector and screen
  • Podium microphone
  • Remote slide advancer
  • Please remove all personal belongings after your session to ensure a smooth transition for the next presenter.

E-poster presenters must attend in person and present their work during the scheduled moderated session at the e-poster stations.

Presentation format:

  • 4-minute presentation
  • 2-minute Q&A
  • Posters will also be available on-demand at e-poster stations and through the mobile app.

 

5-1 E-Poster Upload Requirements

  • Upload Deadline: 15 July 2026
  • Upload through your speaker portal in CVENT
  • Uploads are final and cannot be modified after submission.
  • You may use your own template to create your poster but the final will need to be saved as a PDF.
    If you would prefer to use the conference ePoster template, you may download it here: ICN NP/APN ePoster PowerPoint Template  (Note: both traditional and billboard ePoster layouts are included in the template).

 

5.2 E-Poster Technical Specifications

  • Format: PDF
  • Orientation: Landscape (16:9 widescreen)
  • Length: One page recommended
  • Fonts: Arial, Aptos, Verdana, Times New Roman, Helvetica
  • Font Size: Minimum 11 pt
  • File Size: Under 5 MB
  • No embedded documents, animations, hyperlinks, or videos
  • Images: 200 dpi minimum
  • QR codes permitted
  • Avoid layers or overlapping elements.
  • Filename: Avoid special characters (+, @, ü, etc.)

 

5.3 Conflict of Interest Disclosure

All e-poster presenters must disclose any conflicts of interest or explicitly state that none exist.

 

5.4. During the conference

  • Arrive at least 20 minutes before your e-poster session.
  • Staff will assist with orientation at the e-poster stations.
  • Sessions will be moderated.

After the conference, all slide decks and posters will be converted into PDF format and made available to attendees via download link. If you do not wish your materials to be shared, please notify the organizers when submitting your final presentation.
