Key Dates

Standard refund deadline: July 15, 2026 (23:59 Central Time)

Exceptional refund deadline: August 15, 2026 (23:59 Central Time)

Refund requests submitted on or before July 15, 2026

Eligibility: Refund requests submitted by the deadline are eligible without documentation.

Refund amount: Partial refund equal to the ticket price minus administrative and credit card payment processing fees charged by the processor. These fees are non-refundable.

Refund method: Issued to the original payment method used for purchase.

Processing time: Up to 30 business days from confirmation of your cancellation.

Restrictions: Ticket transfers to another attendee are not allowed. No-shows are not eligible for refunds.

How to request a refund:

Open your original registration confirmation email (If you have lost your original registration confirmation email, you may go to the ICN NP/APN Network Conference Registration Portal and enter your original confirmation number and email to access your registration).

Click the “Modify/Cancel” button to access the portal.

Follow the prompts to cancel your registration. You will receive an email confirmation once submitted.

Refund requests submitted after July 15, 2026
(exceptional circumstances)

Eligibility: Only considered for unavoidable emergencies. Requests must be submitted no later than August 15, 2026, and include valid documentation. Each case will be reviewed individually at the ICN NP/APN Network’s discretion.

Acceptable documentation (attach official documents; English):

 

  • Health reasons: Medical certificate or doctor’s note stating inability to attend.
  • Visa-related problems: Official notice of visa denial or documented visa processing delays preventing travel.
  • Bereavement: Proof of death in the immediate family (spouse/partner, parent, child, sibling, grandparent) and relationship to the delegate.
  • Natural disasters: Official notices (e.g., government/local authority advisories) confirming an event that makes travel impossible.
  • Government travel restrictions: Official documentation of government-imposed bans or restrictions preventing attendance.

Refund amount: Partial refund equal to the ticket price minus administrative and credit card payment processing fees charged by the processor. These fees are non-refundable.

How to request a refund:

Submit by email to: icn-npapn2026@mma-inc.com with the following information:

  • Full name
  • Email used during registration
  • Registration number
  • Date of ticket purchase
  • Reason for refund request
  • Supporting documentation (required for requests submitted after July 15, 2026)

Subject line: “Refund Request – [Registration Number] – [Full Name]”

Confirmation: You will receive an email acknowledging your request within 30 business days. Processing timelines start after acknowledgment of a complete request.

Additional Notes

Currency and exchange: Refunds are issued in the original transaction currency; any exchange rate differences or bank fees are the attendee’s responsibility.

Data privacy: Documentation will be handled per the conference privacy policy and retained only as required for processing and compliance.
